Data we collect

• Account data: email address used to sign in (passwordless codes).
• Property & inspection data: property addresses, unit details, checklist ratings, notes, and photos you upload.
• Device-reported metadata: timestamps and, when available, location coordinates associated with photos. These values are reported by your device and are not independently verified by PropertyClosets.
• Signature data: names, optional emails, signature images or typed signatures, and related audit fields (such as IP address and time) when someone signs a shared report.
• Technical logs: basic request and error logs needed to operate the service.

Tenant and third-party data processed by landlords

When you add a tenant name or email, share a report, or collect a signature, you may submit personal data about tenants or other people. In those cases, you (the landlord or manager) decide what to collect and why. PropertyClosets processes that data on your behalf to provide the product. You are responsible for having a lawful basis to share that information with us and for responding to tenant privacy requests where required by law.

How we use data

• Authenticate you and send sign-in codes
• Store and display inspections, photos, and PDFs you create
• Enable sharing and e-signature of reports via links you distribute
• Maintain security, prevent abuse, and improve reliability

We do not sell personal data. We do not use inspection photos for advertising.

Retention

We retain account and inspection data for as long as your account remains active, or as needed to provide the service and meet legal obligations. Share links remain reachable until revoked or the underlying data is deleted. You may request deletion of your account and associated data (see below).

Your rights & deletion

Depending on where you live, you may have rights to access, correct, export, or delete personal data. To request account deletion or a copy of your data, email [email protected] from the address on your account with the subject "Account deletion request". We will verify ownership and process reasonable requests.

PropertyClosets helps you document property condition. Nothing in the product or this policy is legal advice. Inspection reports do not guarantee a particular outcome in a dispute, court, or administrative proceeding. Consult a qualified attorney about your situation and local requirements.

Changes

We may update this policy. The "Last updated" date above reflects the latest revision. Continued use of PropertyClosets after changes means you accept the updated policy.
